Project Triage



We've been busy the past few weeks.


Well, I've been busy. The boys have been playing and making their own fun and I've been painting walls, canning, knitting, making LOTS of lists, getting ready for the school year, working on an updated business plan, re-organizing closets, slimming down the boys' toy options, scheduling the next year in the studio, and generally having if-I-don't-get-this-done-right-this-second-it-will-never-get-done-itis.


It started as a panicky feeling about two weeks ago and after all this work (and not feeling like a lot of progress) I called a halt to it Saturday night and spent a few hours doing project triage.


I think this is the part where I admit that this feeling comes over me about twice a year- it's a "finishing mode" that shows up when my project list hits critical mass (about 50 projects past where my husband would prefer it be). It rather conveniently hits me mid-July right as I go into major planning/scheduling mode for the studio and just before the month I take off from the studio to spend with my family before stepping back to the full time schedule in September.


It looks a little different each time I do project triage, but this summer it's all about index cards, baby:




The Breakdown:


:: SEVEN (!!!) unfinished knits that are over 80% complete and just need that last little push.


:: FIVE (!!!) unfinished sewing projects that are at least half complete.


:: A stack of "house" cards- one room per card with a list of the stuff that has to happen in there, closet re-organizing, painting, re-arranging, decorating, needs curtains... some of these things (like painting) must happen in the summer months while I'm not having clients in and out of the studio five days a week, but some tasks can go into the school year if need  be. I'm mostly concerned with accomplishing what must be done in that month when I don't work.


:: Business stuff. The summer session ends mid-August and we don't start the fall session for a full month. My goal is to be completely set for the fall and spring sessions by August 1 so that all of August can focus on family, house and crafty things.


:: Other projects that are time sensitive- canning is the most timely thingon that list, so that must be done when the food is available. We hit the farmer's market on Saturday mornings so I'm making plans for the next several weeks to get there a little earlier and then focus Saturdays on food.


We're setting up a temporary daily rhythm of school first thing in the morning, (we started very lightly last week and will increase over the next few weeks to the regular amount for the school year) followed by whatever house project is slated for that day. then some time in mid-afternoon to do whatever we'd like together (the pool is the most popular option right now!) and family time starting around dinner time when daddy gets home. I still work some over the next three weeks, but generally only 3-4 hours a day, three days a week.


Saturday is dedicated as "kitchen day" for preserving and Sunday stays (as always) our day for church and family.


And around that is the crafting. After spending some time in the evenings with Brian I've been working towards *finishing* projects, not starting. Some of those knits are ridiculously close to done. And even more staggering? I have yarn for another nine projects all ready to go, planned out, purchased, even wound into cakes. the sewing will kick into high gear once we get into that month long break. I have two little boys in desperate need of some pajamas and other clothing for fall!

Projects

I've been trying to use some of my time to prepare for the schedule change on August 31. I'm trying to put in place a good system for keeping things organized to save myself a bit of time and energy once I start working again. I've tackled a couple of the places that have piled up over the last few months, and I really want to make a dent in the basement storage room so we can get my parents' chest freezer in there and actually use it!

 The list so far:

Reorganize the pantry. DONE 8/21

Clean out the master bedroom closet. DONE 8/21

Clean off the sewing table. DONE 8/24

Reorganize the linen closet.

Reorganize the boys' craft supplies. DONE 8/25

Repair the border in Ezra's room (that he has partially peeled off in a few places)

Dive into the basement storage room. Hope to come out alive. DONE 8/24

And as a bonus, I'd like to actually sew the blouse that's been cut out for a week now.

 

Thank I can get it all done by next Wednesday? I'm going to try to get through the linen closet and the sewing table today. If you see me online anywhere yell at me- okay?

8/24 Made it through my goals for the basement. There's another 2 stacks of boxes, but you can actually see the floor now. Now to get through the linen closet and re-discover my sewing table!

8/24 I found the sewing table. The linen closet? Not so much.

8/25 Completely overhauled the shelves and art supplies. Pictures to come. :)

My File Crates

The file crates are ready so we must be ready for school! This is one of Dawn's excellent ideas. If you've been reading this blog for very long you know how much I adore Dawn's organizational style. We're trying out her file crate system this year and I'm really excited about making this work for us. 



 

My modifications to the system:



 



 

The most obvious change is that I have two file crates. The first crate is the one that looks like Dawn's - weekly files divide into hanging files marked for every 2 months starting with July. This is the file crate that structures our week. I put any papers or crafts that we'd like to do in the appropriate week and then we get to them whenever we're able during the week. I also file papers regarding our schedules in there- upcoming events, doctor's appointment reminders and all that go into the file crate.

 

The second crate has 1 hanging folder for each month, and it stores all my seasonal ideas that don't belong to any particular week. I have this crate partly because my mother was an early childhood educator for several years and I have all of her papers and printables that she gave me after she retired. I also have all of MY papers and printables from the years I spent teaching early childhood also- I have more than enough material to do at least 5 years of preschool and kindergarten units! There is no way I can do everything that is in here in one year, but I don't want to lose track of the materials. Organizing this material seasonally allows me to assign it to certain weeks more easily, so it's one of my first stops when I'm planning.

 

I have a page like Dawn's for my menus our weekly agenda and all that, but I also add two more planning pages. One is for the Montessori work each boy will be doing in the next several weeks, and the other is for book orders from our library. I tuck those pages into the front of my folders. It works better for me to sit down and plan out about 8 weeks worth of Montessori work for the boys (what to put out on the shelves each day, which presentations to do, materials needed, etc.). There are things that change on this plan since new interests come up along the way, but it helps me to be organized about having the necessary materials on hand.

 

In the back of the planning file I keep the catalogues I have from places like Lakeshore Learning and Montessori Services. I keep our Parks and Rec activity book in there too since they offer a lot of classes and activities for families. My other planning books are on the shelf right above the one where my crates reside.

Project Weekend



Ezra turns two very soon and I need to finish his gifts- pieces have been cut, but I really need to get sewing! The canvas is for a tent that will fit over our dining table, and the Cars fabric and red fleece are for a much-longed-for Cars blankie.

 

The other project for the weekend is re-organizing our poor living room shelves. In the last several weeks they've become stacks upon stacks, and something must be done.

 



 

I should probably do something about my sewing desk too . . .

My mind has been taken up with planning this week - changes we need to make around our home to accomodate schooling, organizational tips, and how to keep track of the things we learn when we aren't using many workbooks or "trackable" activities. I've been recording our days in a simple composition notebook for awhile now, but I'm highly inspired by this journal at Camp Creek and another one at By Sun and Candlelight- I need to add pictures to our education journals to keep a more accurate record. So many of the things we do each day are lengthy to describe and adding pictures would be just the thing.

I have long loved Dawn's excellent collection of monthly themes that make a wonderful starting place for our homeschool plans. I think it's important that schooling revolves around the changing of the seasons just as our adult lives do.

I marked this post by Jess at Color Me Orange quite awhile ago, but the pictures have stayed in the back of my mind. I'm certain that her great system of monthly boxes will help me to stay focused. One thing I know about myself- if I have to collect items from all about the house every day for our work time I just won't  do it. If I get everything together in a pretty box at the beginning of the unit we'll be just fine. I feel a box-making project coming on!

Weekend Redux

Wow- I'm glad the weekend is over! Our grand plans to clean out the basement were kind of thwarted- we only got about half way through. Our dear friend Sarah gave birth to her first child Friday evening so after I got out of the recording session Saturday morning (that ran over by an hour!) we went straight to the hospital to visit Sarah and her new daughter Juniper.

 

 

My parents were also moving over the weekend and they called us because they discovered a few things of ours that we needed to take back (they are moving into a small duplex from their big 5 bedroom house). So we went to pick up several boxes and moved them into storage, then back to the house to finally start on the basement storage room. We managed to get about half way through- about 25 boxes went to storage (mostly books and baby items) and about 10 boxes to donate. Superman finally parted with some very old software, and we both were able to get rid of some of our childhood stuff that wasn't worth keeping. We're going to try to finish up over the next two weekends, but it's going to be tricky since Superman is working both Saturdays.

 

 

The excellent things that came out of this? My parents needed to get rid of their bigger freezer so that came to us! I'm so glad to be able to take advantage of some sales now that I don't have to worry as much about space.

 

 

Also I'm going to be putting in shelving in the basement storage room for all of the extra baskets, work and other activities for the boys that I don't have room for while it's not in use. I'm most excited about this extra storage space. The only things staying in basement storage are our Christmas boxes, my teaching materials for the studio (bulletin borders and things like that), and the clothes that Ezra has yet to grow into. I'm so glad to have this project started so I'll have the extra room!

Note Cards Reloaded

I'm still on a picture-posting bloggy break (oh please, oh please let my computer get here by the weekend- I have about 1000 pictures to share!) but I thought I'd let you know what my little notecards have been up to. If you have no idea what I'm talking about, check out this post.



Routine Shift

I've been making a few changes to the system this past week and it reminds me of why I love the cards- all I have to do is re-sort them into the new system! Life has shifted again and superman is working 6 days for awhile in addition to his school schedule. It's good for our budget, but hard on family time. So the one day he is home I don't want to spend the day cleaning as the schedule currently calls for. I've reshuffled my routines in order to keep that one day clear of housework, save the daily "must be done" cards, like cleaning up the kitchen.



Kids Chores

I've added a morning card and evening card for Big Kid. It's not actually for him- it's for my forgetful brain so that I will remind him of the things that need done.



His morning list includes:

* Get dressed

* Brush teeth

* Set the table for breakfast

* Help unload the dishwasher (he sorts silverware while I do the rest)



His evening list includes:

* Pick up the toys in the living room.

* Put on pajamas

* Brush teeth



Big Kid picked out florescent orange cards and I can spot those cards from across the room! He helps with other things as asked, but mostly we want him to take responsibility for some self-care and helping the family out. We've talked about rotating jobs as he gets older and we can drop the self-care items from his list.

I also added an orange card that I'm leaving at the front of my file box. On that card I have written the habit we're working on right now, and right now that word is Obedience. It is just as much for me as it is for my kids.



Special Projects

Ever had a problem with being distracted while working on a cleaning or organizing projects? Let's say you're working on organizing a particular kitchen cabinet, but then you notice the floor needs swept so you go to get the broom only to notice that the closet is a disaster so you work on that for a few minutes before going to put something else away... and on and on until you end up with a dozen half-finished jobs and what feels like zero progress made. I've been struggling with this focus problem lately, so I chose some nice lavendar cards and decided to use them for these kinds of projects- I'm calling them Special Projects, because they are not part of my regular routine.

Right now I have a daily lavendar card for my 30 day 15-item declutter. As I work in different areas of the house I notice things that need to be done when I get to my deep cleaning next month and write it on a purple card. Right now I'm grouping those cards by room and when I get closer to starting the deep clean I'll assign those projects to certain dates and organize them accordingly. I have about 15 cards so far- we'll see how many more I collect in the the next 2+ weeks. This way I don't worry about not getting to those jobs right away; I know they've been written down (therefore remembered!) and that they will be assigned to a day when they can be done appropriately.

On the Move

We are in the process of moving this week, one load at a time. We spent a lot of time in the new house this weekend fixing a few minor things- installing a new overhead light in the dining room, fixing a few doors that were loose, replacing old broken closet doors, general cleaning and putting together a few pieces of furniture. I hurt my back sometime on Saturday - I'm not sure how since there was no specific moment that I felt hurt, and nothing hurt until this morning when I got up bright and early with my boys.

Because of my back I was of little use today- I did laundry at our current house (my sister- an amazing blessing!- did all the hard work of getting clothes through the washing and drying cycles- I just folded it while lying on the couch) and I took care of my boys with the aid of my blessed sister. You never realize how many times a day you lift your kids until you aren't able to lift them, you know? I don't know how we would have gotten through the day if my sister hadn't been here to help out. I got a few computer projects done- menu planning for next week, lesson planning for next week in the studio, an updated moving list, and I did some research on closet systems for the boys new rooms. The closets in the new house have hanging bars and shelving that are all badly warped and broken in some places so my husband spent most of this afternoon ripping those things out. I need to figure out how best to organize the boys closets. The rooms are small, so I'm putting all of their clothes in the closets since there is no space for dressers in either room. I'm trying to find shelving or something to store their clothes well and I'm a little overwhelmed with that.

Because of the move I will have several massive home projects over the next several weeks. At first we're putting things away just to get boxes out of the way- the move is on Saturday the 5th, and my first student of the week will be on Monday afternoon the 7th, so the house has to be decently presentable by then! My goal is to take before-and-after pictures to share here in an effort to keep myself on task and to keep from getting overwhelmed by all this as I so often do. Any moving suggestions are welcome!

We're moving one load per day in our minivan until Friday when we will move all but the truly heavy stuff (like my piano!). That will be done Saturday when we have several guys here just for the 3-5 big things we need to move. I'm praying that everything will go well!

Keeping Organized: Note Card System

I am the queen of organization books. I read book after book, visit site after site, all in an effort to be more organized than before. Organization does not come naturally to me at all. My mother was not very concerned with it either, and then once every 5 or 6 weeks she would say, "Okay everyone- time to get this place cleaned up!" So the idea of daily upkeep was really new to me when I first got married. By the end of the second year of marriage, we had a pretty good system in place, and that lasted us until I got pregnant with our first son. I was exhausted all the time, so my wonderful husband picked up the slack for a little while. I thought once I had the little guy things would be easier, but it was harder than ever- boy, was I naive!



The system I have in place now is from a combination of sources. I've borrowed the things that I need from various systems, and that has really worked for me.



The big help is my file box. I have an index card file box that I use to keep track of my life. This is a modification of the SHE system.





The List

I started out by creating a list in Excel listing every imagineable task that I am responsible for in our home, my work, and my kids and husband's lives. When I say everything, I mean everything! I went room by room thinking of each individual task that needs to be completed and put it in the list. Then in the next column I decided how often these tasks reasonably need to be performed. I want to stress the word "reasonably" because it's easy to say you want to mop the kitchen floor every single day and systematically declutter the house every day, but will that honestly happen? Also, life stages effect how often I feel I need to clean certain things. Because I have a crawler right now I am religiously vacuuming our living room every single day. Once he's older and not picking things out of the carpet as often I will go back to vacuuming a few times a week.



Once you have your list created, go through and see which tasks can be combined together. On my kitchen list I had: 1. Put dishes in the dishwasher, 2. Clean Stove, 3. Wipe down Counters, 4. Wash table. I put those tasks on one card that says "Clean Kitchen" at the top, then lists those separate tasks underneath.





Making the Cards

Now you are ready to put it onto cards. I wrote all my tasks on index cards, dividing them by color. Daily, weekly and Monthly regular tasks are on blue cards. Trips out of the house are on pink cards. We go to the library, bank, post office, grocery store, and Whole Foods each week, so those are on pink cards. Additional things come up- going to play with friends, various appointments; those all get pink cards. I keep health related items on yellow cards. I have cards to remind me about drinking enough water, taking my vitamins, exercise, and keeping devotions and reading time. I use green cards for seasonal tasks and tasks that can be done any time that month. White cards are for tasks relating to my business, and I'm constantly adding those to whatever days I need to do them!



One of the more important types of cards for me to include has been "maintenance" cards. I have "maintain the linen closet" and "maintain the bathroom cabinet" cards and others like that that are monthly cards. If I spend 10-15 minutes a month maintaining the areas that I've already spent time organizing I don't end up needing to re-organize them very often.



Another important type of card specific to me are project cards. As I think of projects that need to be done around the house or bigger cleaning/organizing projects that I want to accomplish, I add those cards as well. They are usually the types of cards that take multiple days for me to accomplish, because it is rare that I'm able to find several hours in a row to dedicate to a project. So I work at them for 15-20 minutes a day and then I am always making a bit of forward progress.



When I wrote out my cards I put the task in the center of the card, the timeliness of the card (daily, weekly, monthly, whatever) in the top left corner, and the approximate amount of time it takes for me to accomplish the task up in the right hand corner. The reason I do it this way is because one of my problems is that I often get overwhelmed and think that I have no time to get anything done, but by looking at the card and remembering that it's really just a 5 minute task, I don't get overwhelmed as easily. You may find that you don't need that little reminder, but it has been very helpful for me.





Filing the Cards

By now you should have a big stack of cards detailing your tasks. Next up is filing all those cards. I bought dividers labeled by number 1-31 to correspond with the calendar date, and then another set of dividers labeled by month. My seasonal cards go in the monthly dividers, and the rest of my cards are filed by date. For the sake of easiness, let's assume you are starting on the first of the month. Put your daily cards behind the number 1 card. Next, sort your weekly cards by which day of the week you would like to perform each task. I put more tasks on Mondays and Fridays because I only work a half day on Monday and don't work at all on Fridays, so I get more done around the house on those days. I still do about an hour's worth of house stuff on the other 3 days, but I try to make those simpler tasks since my brain is usually taken up with work things on those days.



After I add weekly tasks, I look at my monthly tasks. I've done these in a variety of ways, depending on how our life schedules were at the time. I used to put many of them on Saturdays, but now that we have piano lessons and errand running on Saturday mornings, I spread them out- usually no more than 1 task per day, but some of those monthly tasks work together nicely so I might put those together.



Seasonal tasks can be assigned a day if you would like, but I've gotten into the habit of putting them in under day 1 and then moving it to the next day if I don't accomplish it. Usually I'll have that task done by mid-month, and occasionally not until the end of the month. That's just how it works best for me, but something else may work better for you.



I also include white cards with work tasks. I keep a stack of white index cards on my desk and as tasks come up that I will need to complete on another day or week, I write it on a white card and put it behind the divider for the appropriate day. Because I'm a sole proprieter these work task cards can be anything from billing to research to copying and then actually meeting with clients.





Using the Box

In the evenings I look through the next day's tasks and put them in the order that I want to accomplish them. I'm trying to establish a routine of doing certain daily tasks at the same time every day, so I put those in order first, then add in the weekly, monthy and seasonal cards that apply to that day. I try to put in work tasks earlier in my day since that is when I'm more alert, but often work tasks happen after my kids are in bed for the night.



As I complete cards during the day I move them to their next home. Daily cards that are accomplished move to the next day, weekly cards move to the next week, and monthly cards are filed under the next month . I also move the numbered divider for that day to the back so the current day is always at the front.



I keep different colored cards on my desk and add cards as needed and take cards out that no longer fit our lives. The thing I love about this is that it is fluid. If I'm not able to accomplish much on a certain day because of unexpected things coming up, I either move the card to the next day or week and have another go at it then. My work schedule is not very set, so this method fits my life perfectly right now.
